Who manages communication with the customer?
Bikeroom manages the customer relationship throughout the entire sales process, including pre-sale communication, order updates and post-purchase support.
Our goal is to allow partners to focus on their core business while Bikeroom manages the customer-facing side of the transaction.
Logistics & transport
Who manages the shipping?
Once the bike is collected from the partner shop by our logistics provider, Bikeroom takes care of the rest.
The bicycle is transported to our warehouse in Milan, where our dedicated team carries out a full quality-control check and certification process before carefully preparing it for delivery to the final customer.
This allows our partners to reach customers internationally without having to manage international shipping, customs or the complexity of cross-border delivery themselves.
What does the partner need to do to prepare the bike for collection?
The bike needs to be prepared and packaged correctly for collection to ensure safe transportation.
Partners should follow the same standards they would normally apply when shipping a premium bicycle directly to one of their own customers.
In the unlikely event of transport damage, Bikeroom manages the communication and works with the relevant parties to determine the most appropriate solution.
Payouts, fees & taxes
When do I get paid?
Payment is made once the bicycle has arrived at our HQ in Milan and has successfully passed our internal inspection and certification process.
Partners therefore do not need to wait until the bike has been delivered to the final customer or until the customer’s return period has expired.
What commission does Bikeroom charge?
The Bikeroom commission is 8% of the net selling price of the bicycle.
There are no listing fees, subscription costs, monthly fees or other platform fees.
How does VAT work for international sales?
VAT treatment depends on the destination country and the structure of the transaction.
For international sales, Bikeroom manages the required processes related to cross-border transactions, with the relevant information reflected in the accounting documentation provided.
Warranty
Who handles warranty claims?
Bikeroom manages the customer relationship and first-level communication regarding warranty claims.
The handling of a warranty claim depends on whether the bicycle is sold as new or pre-owned and on the applicable legal requirements.
Where technical assessment or warranty assistance is required, we work with the relevant party to determine the most appropriate solution.
Contract terms & inventory management
Is there a minimum contract length or exclusivity requirement?
There is no minimum contract length, exclusivity requirement or minimum number of bikes that partners are required to list.
Partners are free to test Bikeroom as an additional sales channel, evaluate the results and decide how they would like to develop the partnership further.
What happens if a bike listed on Bikeroom is sold in my physical shop?
If a bike listed on Bikeroom is sold through your physical shop, the listing can simply be removed or updated.
Where possible, we recommend keeping your inventory synchronised through an integration, as this helps avoid availability issues and reduces manual management.
There are no cancellation fees for bikes that are no longer available, provided the inventory information is updated promptly.
Returns & right of withdrawal
What happens if a customer wants to return a bike?
Bikeroom manages the customer-facing return process and coordinates the logistics involved.
Our objective is to find a fair and practical solution on a case-by-case basis, with the aim of keeping the bicycle within the Bikeroom ecosystem wherever possible rather than returning it to the partner.
What happens to a bike if it is returned?
Returned bicycles are inspected by our team to assess their condition.
Based on the individual circumstances, we work with the relevant parties to determine the most appropriate solution and, wherever possible, retain the bicycle within the Bikeroom ecosystem.
International Sales & Customs
What is an EORI number and why do I need it?
EORI stands for Economic Operators Registration and Identification.
It is the unique identification number used by EU customs authorities to identify businesses when carrying out customs operations, such as exporting or importing goods.
For Bikeroom partners, an EORI number is particularly important if you want to sell and ship bicycles to countries outside the European Union, such as the UK, Switzerland, USA, Norway or other non-EU destinations.
Shipments between EU countries normally do not involve customs clearance, so an EORI number is not required simply because you are selling to another EU country.
Do I need an EORI number to sell outside the EU?
If you are an EU-based business and want to ship bicycles to destinations outside the EU, you need a valid EORI number for the relevant customs operations.
Your EORI number is linked to your business and is valid across the EU. You do not need a separate EORI number for each country you want to sell to.
How do I get my EORI number?
Before applying for a new EORI number, you should first check whether your company already has one.
The EORI is issued by the customs authority of the EU country where your company is established.
You can check the validity of an EORI number through the official EU EORI validation database.
If your EORI number is already valid, no further application is normally required.
If you do not have a valid EORI number, you need to request one through the customs authority in the country where your company is established.
What do I need to send to Bikeroom?
Once your EORI number is active, please send your EORI number to your Bikeroom contact.
We will then proceed with the relevant setup required for sales and shipments to non-EU destinations.
Bikeroom sells globally, so having the necessary customs registration in place allows us to consider a wider range of international destinations for your bikes and can increase the number of potential customers you can reach through the platform.
Please note that an EORI number is only your business identification for customs purposes. Depending on the destination country, additional customs, tax, import or shipping requirements may apply.
